[Remote] Technology Department Administrator

McNees Wallace & Nurick LLC is a trusted law firm delivering practical legal solutions and is seeking a highly organized and proactive Technology Department Administrator to support their Information Technology team in a fully remote capacity. The role involves managing departmental operations, supporting budgeting and financial tracking, and facilitating communication across stakeholders and vendors.
Responsibilities
- Manage daily administrative operations for the IT department in a remote environment, including scheduling meetings, maintaining calendars, preparing agendas, and documenting meeting minutes
- Serve as the primary liaison with technology vendors, handling relationships, contract management, renewals, and purchasing activities
- Maintain and track all technology contracts, licenses, and subscriptions to ensure timely renewals and accurate documentation
- Partner with the CIO to develop and manage the annual technology budget, including tracking expenses, processing invoices, and reconciling monthly financials
- Prepare budget variance analyses, forecasting reports, and identify opportunities for cost savings and optimization
- Support capital planning efforts by compiling cost estimates and assisting in the preparation of business cases for technology investments
- Coordinate IT projects by monitoring progress, tracking milestones, and escalating risks or concerns as needed
- Develop project status reports and dashboards to provide visibility to leadership
- Create and maintain departmental documentation such as standard operating procedures, workflows, and onboarding materials
- Assist with ensuring compliance with firm policies, data security standards, and regulatory requirements
- Support internal and external audits and vendor risk reviews by coordinating documentation and intake processes
- Maintain information governance standards, including proper document organization within NetDocuments (NetDocs)
- Provide general administrative support to the E-discovery team
Skills
- High school diploma or GED required; associate's or bachelor's degree preferred
- Minimum of 5 years of experience in an administrative or coordination role, preferably supporting a technology or professional services team
- Proven ability to work effectively in a remote environment, managing time, priorities, and communications independently
- Exceptional organizational skills with the ability to handle multiple projects, deadlines, and competing priorities
- Strong verbal and written communication skills with a professional, client-service-oriented approach
- High attention to detail in document preparation, financial tracking, and data accuracy
- Demonstrated ability to anticipate needs, take initiative, and solve problems independently
- Strong collaboration and interpersonal skills, with the ability to work across distributed teams
- Ability to handle sensitive and confidential information with discretion
- Adaptability and flexibility in a fast-paced, evolving environment
- Commitment to providing excellent internal and external customer service
- Associate's or bachelor's degree preferred
