[Remote] Clinical Operations Coordinator for Anywhere Wellness
Note: The job is a remote job and is open to candidates in USA. Anywhere Wellness is dedicated to delivering exceptional telehealth services, combining counseling and medication management. They are seeking a Clinical Operations Coordinator to manage a high-volume billing cycle while providing clinical support and administrative triage in a fully remote setting.
Responsibilities
- Coordinate and complete the day-to-day secretary work and limited billing and other delegated roles of admin staff
- Operational Oversight: Ensure all daily services and "back sided" job related tasks running smoothly
- Quality and Compliance: Monitor patient care quality and ensure the practice adheres to all necessary medical protocols, ethical standards, and regulatory requirements, HIPAA
- Liaison: Act as the primary communication link between the clinical team, administration, & external parties
- High-Volume Revenue Cycle Management
- Daily Chart Checks: Accurately verify all charts for the following day have active insurance, consents and collect balances owed for visits for next day
- Invoicing: Daily payment collection and transparent financial tracking
- Referral Coordination: Serve as the primary lead for VA/Tricare/Triwest primary care client referrals
- Clinical Liaison: Act as the professional point of contact for external clinics, managing complex Records Releases and referral tracking with precision
- Seamless Coverage: your the main POC for office
- Rapid Response: Ability to instantly pause phone calls/emails/exec tasks/billing tasks to answer high-volume phones/emails
- System Navigation: Expertly navigate multiple Electronic Health Records (EHR) and digital filing systems simultaneously
- Virtual Presence: Maintain active camera presence in our virtual office, remaining "interruptible" and accessible to the CEO, COO, and Providers
- Flexibility: As a smaller ops team supporting a large clinical staff, you must be willing to "rise above" your job description to meet shifting daily priorities
Skills
- 2-3 years required experience
- Strong interpersonal skills
- Billing experience
- Therapeutic listener
- Detail-oriented & able to manage multiple tasks timely and effectively
- Strong organizational skills
- Tech-savvy- EMR software, Excel, etc
- Education: Communications, Healthcare, Psychology, Business or MA, or Medical, or Accounting degree preferred
- Experience: Heavy medical and/or billing experience is mandatory
- Technical Mastery: Advanced skills in Google Workspace and Excel
- Reliability: You are the person the team leans on; consistency and punctuality are non-negotiable
- Degree in accounting, business, data, or certified biller/coder preferred
