Operations Coordinator
PAX sapiens is a grantmaking and operating foundation dedicated to preventing global catastrophes. The Operations Coordinator will provide high-level administrative and operational support to the COO and the operations team, ensuring efficient management of schedules and communications, as well as supporting meetings and strategic initiatives.
Responsibilities
- The Administrative Support role provides high-level administrative and operational support to the COO, ensuring efficient management of the executive’s schedule, communications, and strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs. Additionally, coordinating the President with his Executive Assistant and Chief of Staff
- Meeting and Event Support: Provide support for the Operations Manager and assist with myriad aspects of Track 2 Dialogues, Convenings and Workshops. This will including supporting travel needs, confirming compliance with sanctions and working with details that make an event successful
- Internal Information Sharing: Collect monthly status reports and compile for a written update across the organization
- Supporting the development and implementing new Areas of Responsibilities (AOR): As PAX sapiens grows, the needs of the organization do too. The operations team develops the systems to support the programs
- Strategic Learning Support: Support after‑action reviews, outcome harvesting, and related monitoring, evaluation, and strategic learning activities for PAX convenings and dialogues. Assist with coordinating the collection, organization, synthesis, and use of event‑related data and information, in collaboration with PAX’s strategic learning and monitoring, evaluation, and learning functions
- Development and partnership support: Support events and activities as needed by the Director of Partnerships and Development

Skills
- Bachelor's degree in a related field
- Strong interest in international affairs and development
- Minimum of 1-3 years experience in a nonprofit, campaign, or philanthropic environment
- Outstanding attention to detail
- Strong organizational and communication skills
- Strong and concise writing skills
- Ability to both work independently and in collaboration
- Proficiency in Chinese is considered a plus
