Office Assistant 2 (Customer Service) (NY HELPS)
The New York State Office of Mental Health is seeking an Office Assistant 2 (Customer Service) to support the Division of Shelter Oversight and Compliance. The role involves answering inquiries, handling complaint calls, assisting with reports and communications, and managing data entry tasks.
Responsibilities
- Answer main Division of Shelter Oversight and Compliance (DSOC) phone line. Respond to inquiries regarding DSOC rules and regulations
- Receive complaint/grievance calls, and either resolve the issue or transfer the call to the appropriate person/area for next level handling
- Assist with typing inspection reports, addendums, and monthly reports
- Respond to written communications from the public requesting information
- Assist with issuing Operational Certificates for certified homeless shelters
- Assist with setting up interviews, conference calls, meetings and other similar interactions
- Enter data into a shared tracking data base
- Fax/Copy/Scan materials as needed
- Enter data into SMS
Skills
- Candidates must be legally authorized to work in the United States

- One year of experience where most work time is spent performing various communication tasks centered on customer service, and primarily, but not exclusively, deal with the general public
- To be eligible for a 55b/c appointment, candidate must be currently enrolled in the Civil Service 55b/c program and must meet the minimum qualifications listed above
- Eligible for a lateral transfer or eligible for transfer under Section 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title
- Applicants will be required to prove their eligibility for employment based upon acceptance of a position in accordance with the Immigration Reform and Control Act of 1986
